Providing Parent Access

The Parent Portal of LiFT is where a parent/guardian may access and view their Learner’s work and progress. Access to the Parent Portal by a parent/guardian is with the use of access tokens that are generated and sent to a parent/guardian by a LiFT Facilitator. Each token can only be used by one email account. This means two parents/guardians can either share an account or each one needs their own token. Tokens are issued with a Claim By Date (typically a couple of months from issue date) and an Expiration Date (typically two to four years from issue date).

Included below are instructions to:

  • Generate Tokens – for one student at a time or a group of students
  • Distribute Tokens – to many parents/guardians or one at a time
  • Manage Access

Generating Tokens

Tokens can be created for a large group of students, or for one student at a time. To manage your Access Tokens, click on Student Access Tokens in the left sidebar of your Facilitator Dashboard. All Student Access Tokens that have been generated are listed there. You can find specific tokens by entering part of a student’s name or email. You can also filter by Claimable Tokens (generated but not yet claimed by a parent or guardian), Active Tokens (tokens that have already been claimed by a parent or guardian) or All Tokens (which also includes revoked and expired tokens).


Generate Tokens for One Student at a Time

Click on the Add a Token button

Complete the Generate Access Tokens form that opens up:
  • Select a student from the drop-down menu
  • Enter an alternate date if you wish to change the Access Expiration Date or the Claim Expiration Date
  • If you do not know the parent/guardian email address for that student, click on the orange Generate Token button in the lower right corner.


If you’re ready to email the token, check the Email This Token box and add first name, last name and email for the recipient. You will need to acknowledge that the recipient has the legal right to access this student’s data.

When you’re done, click on the orange Generate and Send Token button in the lower right corner. LiFT will send the student’s Access Token to the entered email.



A summary of the Student Access Token will appear on your screen. You can make any desired edits, and then click on the orange Save Changes button in the lower right corner.


Click on Student Access Token in the left sidebar to return to the Manage Student Access Tokens page.

Generate Tokens for a Group of Students

Click on the Generate Tokens button



Complete the Bulk Generate Access Tokens form that opens up:

  • Select the current School Term
  • Select whether you want to generate tokens for all grades or specific grades. This is based on the grade data that is entered in the Students module.
  • By default, tokens are only generated for students without a current parent/guardian account. If you would like to generate additional tokens for students with already active parent/guardian, put a check in the box.
  • Enter an alternate date if you wish to change the Access Expiration Date or the Claim Expiration Date.
  • Select how many tokens you wish to generate for each student included. Most typically, that is 1 or 2.
  • When you’re done, click on the orange Bulk Generate Tokens button in the lower right corner.



You will be redirected to the Manage Student Access Tokens page. A status bar will appear at the top of the page. When the generation is successfully completed, click on “reload page” or refresh your browser. All generated tokens will appear on the list.




Distributing Tokens

LiFT recommends that you not grant Parent Access until there is a body of student work for them to view and be able to understand what is going on. That time may be different for different schools, but likely in the Fall. The LiFT Team is able to help you with your initial distribution of tokens to parents and/or guardians.


Distributing Access Tokens to Many Parents/Guardians

To send out a mass emailing of access tokens to Parents/Guardians, all you need to do is provide your LiFT Team with a spreadsheet (either Excel or csv) that connects your students with their parents and their email addresses, all on a single row. You should be able to pull this information directly out of your SIS:

  • The spreadsheet must include the parent/guardian’s first name, last name and email address, along with the student’s name.
  • LiFT is also able to send emails out in Spanish; if this is of interest to you, include a column on the spreadsheet that indicates Spanish option desired.

The email they will receive includes a Quick Introduction to LiFT. As parents activate their tokens, their names and emails will populate your Parent/Contact list (found by clicking on Parents / Contacts on your left sidebar) and appear on your Student Access Token list (when filtered to include Active Tokens).


Distributing Access Tokens One at a Time

If you didn’t email a token when you created it, you can either print out instructions or email any unclaimed token at any time. Identify the token you want to share on your Manage Student Access Tokens list by searching on the student’s name or email. You can either Print Instructions or Email Token by selecting one of those options from the drop-down menu to the far right of each token row.



If you select Email Token, you will be required to enter recipient’s first name, last name and email address. You will also need to acknowledge that the recipient has the legal right to access this student’s data. When ready, click on the orange Send Invitation button.



Managing Parent/Guardian Access

At any time, you can edit a token’s Access Expiration Date or Claim Expiration Date by clicking on Edit Dates on the drop-down menu to the far right of each token row. Similarly, you can revoke parent access by clicking on Revoke Token from that menu.
